OPEN POSITIONS:
Senior Safety Systems & Operations Lead
Salary Range: MIN: $125,000 MAX: $175,000
Job Summary:
The Senior Safety Systems & Operations Lead serves as a critical right-hand partner to the Head of Operations Safety & Readiness, providing high-trust administrative, technical, and programmatic support across the safety organization. This role blends strong safety management system (SMS) knowledge, technical documentation expertise, and operational judgment to support day-to-day safety program execution.
The position plays an active role in safety documentation management, safety report intake and triage, escalated event coordination, and support of investigations and ad hoc safety initiatives. As a flexible program resource, this role adapts quickly to emerging priorities and supports cross-functional communication to ensure safety programs remain effective.
The role follows full time employment, with 20 hours worked in the office and 20 hours flex to adhere to a 40-hour work week.
Core Responsibilities:
Safety Program & Administrative Support
- Act as the primary administrative and operational support partner to the Head of Ops Safety & Readiness, anticipating needs and ensuring smooth execution of program priorities
- Coordinate schedules, deliverables, documentation, and follow-up actions across the Ops Safety & Readiness team
- Support planning, tracking, and execution of safety initiatives, reviews, and leadership requests
Safety Documentation & Manual Management
- Lead updates, edits, version control, and formatting of safety manuals, procedures, and supporting documentation
- Ensure manuals and safety documentation remain current, accurate, and aligned with evolving operational and regulatory expectations
- Track document approvals, revisions, and distribution to ensure controlled use across the organization
- Maintenance of all General Operations Manuals
Safety Reporting & Escalated Event Support
- Assist with intake, organization, and initial review of safety reports submitted through internal reporting channels
- Support triage and escalation of safety events in coordination with the Head of Ops Safety & Readiness
- Maintain documentation and tracking of reported issues, actions, and outcomes
Incident & Investigation Support
- Support potential incident investigations, including documentation review, evidence organization, timeline development, and coordination of follow-up actions
- Assist in preparing investigation summaries, findings, and corrective action documentation as directed
- Ensure investigation materials are organized, traceable, and audit-ready
Ad Hoc & Emerging Safety Initiatives
- Serve as a flexible program resource to support emerging priorities, short-notice initiatives, and special projects within Ops Safety & Readiness
- Assist with cross-functional coordination related to safety reviews, operational readiness efforts, and program improvements
- Provide surge support during high-tempo operational or safety periods
Operational Readiness & Continuous Improvement
- Support tracking of safety actions, follow-ups, and readiness tasks to ensure closure and accountability.
- Assist with preparation of internal briefings, summaries, and leadership-level safety materials
- Identify opportunities to improve organization, efficiency, and clarity within safety processes and documentation
